Distribute Portfolio Pages
Distributing a page of your Portfolio project sends it electronically to your project participants, who access their portfolios at http://portfolio.washington.edu. Distributing pages of your Portfolio project is a four step process. You will need to: 1) decide how structured the project should be, 2) select your method of page distribution, 3) add a participant list (if applicable) and 4) distribute the pages.
Allow for customization or linked review
Before you distribute your project pages, you must first choose whether students are to submit their portfolio to you but do not change the structure of the portfolio or its pages, or whether students are to give access to visitors using a URL and are able to control the structure of the portfolio.
- Customization. Select customization to give students a starting point for their portfolio and to allow students to shape their portfolio to their own liking by adding or deleting pages of the portfolio. However, this option does not allow for students to submit their work to you prior to publishing their work. The student will have to publish their portfolio and give the URL to the you in order for you to view their work. Anyone who has access to their portfolio URL will also be able to look at their work.
- Linked Review. Select linked review to give a strong framework for their portfolio and to allow students to submit their portfolio to you for review before they publish their portfolio and make it open to the public. However, students will not be able to change the structure of the portfolio until you end distribution of the project or delete the portfolio project.
Choose your method of distribution.
Before you distribute your project pages, you must first select a method of distribution. There are two ways to distribute your Portfolio pages to participants. You can either send your participants a URL for your Portfolio project, or attach a participant list and let the tool send students an invitation to install your portfolio.
- To choose your distribution method, go to the project summary page for the project you would like to work on.
- Click Distribute Project to Participants, which is located underneath the project pages. You will move to the "Distribute project" page, which displays customization options pertinent to the student experience and distribution methods.
- If you've chosen Customization for the structure of your participants' portfolios, you will only be able to distribute the project through a URL you give your participants.
If you choose customization, you will not be able to review your participants' portfolios. You will have no further interaction with your participants via Portfolio Project Builder. If you would like to see their work, you must ask them to publish their portfolio and send you the URL.If you've chosen Linked Review for the structure of your participants' portfolios, you may select one of the following distribution options:

Distribute via group of UW NetIDs: This option enables the Portfolio Project Builder to send your project pages to the members of your participant list. Once distributed, the pages are live to all your participants, and participants can submit their portfolio pages to you for review. Participants cannot delete your Portfolio project until you either end distribution or delete the project. If you choose to distribute your project to a participant list, you will need to add a participant list before the project can be distributed.
Distribute via URL: This option provides you with a URL that participants can follow to access your Portfolio project and install it into their Portfolio workspace. You may include the link to the project URL in a Web page, or copy and paste it into an email message. Participants who follow the link will need a UW NetID to access the project. You will be able to review their pages when your participants submit them to you.
Distribute project pages.
When you distribute a page of your project, the page is "handed out" to your participants, who may begin working on its contents. After you have distributed a page, you can edit the page, but you cannot move or delete it unless you end or delete the entire Portfolio project.
If you allow participants to submit portfolios to you, they cannot delete the project from their workspace until you either end or delete the Portfolio project. However, even when it is distributed, you may change page names and edit the content of page sections. For instance, if you catch a spelling error, you can change it even after the page is distributed. As the project owner, you can also respond to participant comments and concerns, perhaps by adding more explanations. Once the page is distributed, you cannot change the type of artifact submission (e.g. "Text only" to "Artifact only").
If you distribute your Portfolio project as a URL without allowing participant to submit their portfolios for review, current participants will not receive changes or updates to your project unless they download it again.
Follow the steps below to distribute your project pages:
- Go to the Project Summary page for the project you would like to distribute.
- Click Distribute project pages on the "I want to" menu. You will move to the "Distribute project pages" screen.
- Select the box(es) beside the page(s) that you wish to distribute to your participants. If you wish to distribute all of the pages at the same time, you may click Check ALL pages. To uncheck all pages, click Clear ALL pages.
- Set distribution dates for your project pages (linked review only). Select one of the following options for the pages you have selected:

Select a distribution date: You can choose a date and time when your page(s) will be distributed. It can be set for any time, day or night; merely set the date and time, and then click Save (or click Finished to save your work and return to the Project Summary). The tool will distribute your page for you on the appropriate date. You can change this date as many times as you wish, up until the time when the page is actually distributed. If you do not specify a time and date, the pages will be distributed in an hour from the current time.
Distribute now: You can also distribute your page immediately by choosing "Distribute now" and clicking "Save" or "Save and Close". The status and distribution date will change instantaneously as a result.
Remove a distribution date: If you would like to completely remove a distribution date, select Remove Distribution Date option and click Save or Finished.
Cancel distribution of your project.
Ending distribution of your Portfolio project breaks the ties between your and your project participants. This will allow you to edit the project pages and distribute the project to other participants. However, you will not longer be able to view participant portfolios or provide comments.
If you wish to view participant work at a later date, then you should consider downloading participant portfolios before ending distribution of your project.
Ending distribution of your project will not delete or remove the work of your current participants. They will retain their portfolio, and they will be able to edit and publish their portfolios.
To end distribution of your project, follow the steps below:
- Go to the Project Summary for the project you wish to end distribution.
- Click Manage participants in the green box at the bottom center of the Project Summary. You will move to the "Participants" page.
- Select No distribution. This option is only available for projects that have distributed pages.
- Click Save Changes.
